For Examples : 

  • meeting with Community leaders for Project follow up session. 
  • calling some relevant contacts ones a week to maintain networking 
  • visit the health facilities to keep in touch with patients and staffs
  • listening to local radio to update the context dynamic 

2 are the most difficult for me: 

  • calling some relevant contacts ones a week to maintain networking 
  • visit the health facilities to keep in touch with patients and staffs
strategies to get them done: 

  • make a planning with the list of relevant contacts and call during the less busy day 
  • choose one day in the week and keep changing according to your schedule, manage to go always with someone who is working in the hospital avoid to inform the team in advance

  IMPORTANT BUT-NOT-URGENT

1} Preparing one's individual Review at a time  when there is staff down-sizing  of national staff is at hand

2} Making visit to the health facility to follow-up on HR/ Admin issues.

MOST DIFFICULT TO GET DONE

1} Preparing and going through  staff redundancy criteria.

CAN YOU SUGGEST STRATEGIES TO GET THEM DONE

1} Organizing your activities /tasks  by day/ week and month is a very important key in one's professionalism.

2} Focus and priority  must be placed on urgent and important issues,

3} Always make provision for the  unforeseeable that may required your attention.

2- community meeting to see projects outcomes.

3 meet with stakeholders.

Not Urgent tasks:

-Check competence of each staff

-Exercise to improve planning and project presentation

-Quality Relationship building

-Planning problem prevection

-Self development healthy

The most difficult in my personal experience are:

-Exercise to improve planning and project presentation

-Planning problem prevection

Strategy for get them done are:

-Communication into the staff group

-Planning together the right and easy way for find queekly solution

-Sharing previous experience for doing and choise the best solution-way in the future planning and always with the objective to resolve problems.

I have a project which has a line activity for delivering trainings to community health workers. I have organized that activity with successful completion. I am required to submit the report activity in 3 months. 

That means, I am not in a hurry of submitting the report in few days. I have 3 months ahead to write and submit the report. However, I cannot ignore submitting this report as it is a project performance indicator.

Very good examples! According to me:

  1. Important-but-not-urgent tasks? 

time-consuming activities that depend on multiple people and variables. such as:

- the development of the project policy 

- annual plan

- budget review, among others.

Design of action plans for example.


Can you suggest strategies to get them done?

- Plan a daily period of maximum concentration and with the fewest possible interruptions

- Detail the steps, timing and necessary resources

- Support and motivate the people involved to do their part. 

- Evaluate daily the degree of success of my strategy and adjust the plan if necessary.

Important-but-not-urgent tasks are often tasks that contribute to long-term goals, personal development, or overall well-being.

  1. Exercise and Fitness

  2. Learning and Skill Development

  3. Personal Projects, hobbies, side projects, or creative endeavors that bring fulfillment but might not have immediate external deadlines

    My challenge is procrastination or having to postpone something because of urgent tasks or not having the right mindset/energy level to complete them

    Here are strategies to overcome these challenges:

Importants but not urgent tasks

1 - Preparation of IMO (International Medical Order).

2 - Complete inventory of the pharmacy stock.

3- Evaluation of supervised staff.

4- Monthly SITREP.

The preparation of IMO is the most difficult to get done because it involve so many stakeholders as well as many tasks                    .

The strategy is to set a chronogram of  tasks, a deadline to complete every task then regularly share a reminder of this.
