Supply Chain Onboarding

About the course

The OCB Supply Chain Onboarding is a self-paced online onboarding addressed to all newly recruited supply profiles from level 7 of the IRFFG and above. The onboarding will introduce you to the MSF OCB Supply Chain specificities and you will be able to explore in detail the different Supply chain technical domains. The onboarding is in English and has an approximate duration of 6 hours.


Target Audience

The OCB Supply Chain Onboarding is a compulsory course for all newly recruited supply field profiles (International Mobile staff & Locally Hired Staff) from level 7 of the IRFFG and above. Other Supply profiles may also benefit from taking this course through a modular approach. They could be invited to follow one or more specific modules independently, as recommended by their line and/or functional manager, and/or depending on their function or personal interests. At large, the onboarding will be open to all newcomers in the Supply community, including HQ and Supply centers staff.


Duration

The onboarding has an expected duration of 6 hours. Participants are recommended to do it over 1 week. The Supply technical onboarding represents a key milestone in the global induction and onboarding journey. It is, therefore, highly recommended to follow the technical onboarding after the ‘Welcome to MSF Essentials’ course. The self-paced onboarding will be followed by a 2 hour virtual class that will take place every 3 months.


Learning Objectives

At the end of the Supply chain self-paced onboarding, participants should be able to: 

  • explain the structure and process of the MSF(OCB) Supply chain; 
  • explain the roles and responsibilities of Supply staff within the Supply community and within the organization; 
  • describe the basic guiding principles and best practices per technical Supply domain; 
  • find guidelines, Standard Operating Procedures and templates, and reach the Technical Referents for support; 
  • apply the CARE manifesto principles as core values in their daily job.

The self-paced onboarding is structured in 10 modules: 

0. Introduction: welcome speech and introduction to the C.A.R.E. Manifesto 

1. MSF Supply Chain in Operations: structure and design of the OCB end-to-end Supply Chain, introduction to the GSDP and to the Supply workforce (roles & responsibilities).

2. Collaborative planning & needs definition: benefits of collaborative planning, collaborative planning committee, needs definition and codifications system (UNICAT), supporting documentation. 

3. Order and “user” service management: standard orders and goods flow, request process, validation of expenses and user service management. 

4. Procurement: international/regional/local procurement definition, MSF global procurement policy, procurement documentation. 

5. Transport & Distribution: transport and distribution macro processes, transport conditions, criteria for selecting local transport solutions, transport documentation. 

6. Importation and Customs Clearance: importation and customs clearance procedures and requirements, customs clearance in emergency, introduction to the main actors involved, customs documentation. 

7. Warehousing: warehouse selection criteria, types of warehouses, layout and space organization within a warehouse, handling and storage equipment, safety and security rules, ethics and environmental considerations. 

8. Stock management: stock strategy definition and distribution flow, daily stock management activities, medical stock management rules, quality management systems, self-inspection and CAPA. 

9. Supply Information Systems (SIS): introduction to the main SIS used in MSF OCB, data quality and internal controls, overview of the supply internal reporting systems. 

10. Information and knowledge management (IKM): information and knowledge management definition, information and knowledge sources, focus on communities of practice.


Methodology

During this onboarding participants will learn through a combination of multimedia materials (videos) and texts, and they will practice what they’ve learned through a series of exercises and scenarios (quizzes, matching and pile sorting activities, etc). Within the 3 months following the self-paced onboarding, there will be a 2 hour virtual class where participants will be invited to meet with a Supply Referent to be able to share their doubts and ask questions.


Evaluation

To pass this onboarding participants will have to complete all modules.


Certification

Upon the completion of all modules, participants will receive a certificate and a digital badge awarded by MSF OCB.


Release and Update

The onboarding will be launched in January 2024.


Validation

This onboarding is validated for use by OCB's Supply Department.


Technical Considerations

The onboarding is best completed on a computer, laptop or tablet. However, it can also be possible on a mobile device if the screen size is large enough.
